Most small brands start selling on the free WhatsApp Business app. It's simple and it works, until orders pick up and one phone can't keep up. That's when people start hearing about the "WhatsApp API". Here's what the difference really is, and how to know when it's time to switch.
The WhatsApp Business app
A free app for Android and iPhone, made for small businesses that reply to customers by hand.
- Business profile, catalogue, quick replies, labels and away messages
- Broadcast lists that only reach people who have saved your number
- Runs on your phone, with a few linked devices such as WhatsApp Web
- No automatic messages from your store: every order update is typed or forwarded by hand
The WhatsApp Business API
The official way for businesses to connect WhatsApp to their own software, run by Meta as the WhatsApp Cloud API. There's no phone app; you use it through a platform like Wapimate.
- Automatic messages triggered by your store: order confirmations, COD confirmations, shipping updates and cart reminders
- Campaigns to any opted-in customer, whether or not they saved your number
- A shared inbox, so your whole team can reply from one number
- Message templates approved by Meta, with buttons and personal details
- Delivery and read reports, and revenue tracked per message
- Meta charges per template message; replies to customers inside the 24-hour window are free
Side by side
| Business app | Business API | |
|---|---|---|
| Cost | Free | Meta's per-message fees, plus your platform plan |
| Automatic order updates | No | Yes |
| Abandoned cart reminders | By hand only | Automatic |
| Broadcasts | Only to people who saved your number | To any opted-in customer |
| Team access | A few linked devices | Whole team, one inbox |
| Shopify connection | No | Yes, through a platform |
| Reports | Basic | Delivered, read, replied and revenue |
Signs it's time to switch
- You spend hours a day typing order confirmations and tracking links.
- More than one person needs to reply, and you're passing one phone around.
- You want to confirm COD orders before shipping to cut RTO.
- Abandoned carts are piling up with no follow-up.
- Your broadcasts miss customers who never saved your number.
If two or more of these sound familiar, the API will pay for itself in time saved and orders recovered.
Can I keep my existing number?
Yes, but a number can only be on one WhatsApp at a time. If it's in the WhatsApp or WhatsApp Business app today, you delete that account first and then register the number on the API. Your old chat history in the app doesn't move over, so some brands prefer a new number for the API and keep the old one on the app for a while.
How to get started
You don't need a developer. With Wapimate you create a free Meta developer app, connect your number and your Shopify store, and turn on the automations you want. Our step-by-step guide to connecting WhatsApp to Shopify walks through it, and there's a setup guide with a short video for every step.
